Automation and AI-assisted workflows for dental clinics

Automation for dental clinics supports clearer tracking of incoming enquiries, team ownership and administrative next steps. PRIZMATION designs automation and AI-assisted workflows around your clinic's existing operation. Our focus is administrative operations, not medical diagnosis or an off-the-shelf patient record system.

Describe how your clinic works in a few sentences; please don't send patient information.

Help your team see who owns each enquiry and which step is waiting. Administrative follow-up can become clearer while you focus on clinical work.

Example clinic administration workflow

  1. Contact channelPhone, web or messaging
  2. Team ownerWho has the enquiry?
  3. ResponseResponse status is clear
  4. Next stepWho, when and within which boundaries
  5. Progress towards an appointmentWith team approval, in the clinic's own tool

Team decision / approval

Representative workflow with no identifiable patient or clinic data. Clinical decisions and treatment advice remain the dentist's responsibility.

01

An enquiry arrives. Who owns the next step?

Enquiries arriving by phone, web or messaging may be tracked in different places. When reviewing a clinic's process, we look beyond the number of enquiries to ownership, responses and open next steps. Where a genuine follow-up gap exists, this helps identify the point to address.

02

Areas we can assess in your clinic's operation

01First-response visibility
Recording an enquiry, identifying the team member responsible and making response status clear.
02Next-step follow-up
Where a response is awaited, defining who will follow up, when and within which communication boundaries.
03Tracking progress towards an appointment
Seeing how an enquiry progresses while taking the existing appointment tool and team approval into account. This is not a promise of automatic appointment booking.
04Administrative steps after a treatment plan
Team ownership and follow-up can be assessed separately where the clinic needs it. Clinical decisions and treatment advice remain the dentist's responsibility.

Example: a visible follow-up chain

Example clinic administration workflow

  1. EnquiryChannel and time
  2. Team ownerClearly assigned
  3. Response statusSent / awaiting
  4. Next step and dateFollow-up planned
  5. Progress towards an appointmentTeam approved

A table and clear team ownership may be enough initially. If repeated information transfers, notifications or draft preparation needs are confirmed, automation or AI support can be assessed. Preparing a message draft, for example, does not mean sending it automatically on the clinic's behalf.

Rely on a workflow with an owner and a date, not just the person who remembers the enquiry. That visibility is the starting point for good follow-up.

04

A first step that fits your clinic.

We review existing tools, team roles, required access and permissions together. Process steps can be described without sharing real patient information. If a trial needs data, its permitted use and appropriate handling are defined separately.

We can select operational measures such as first-response time, unanswered enquiries and open follow-up items, then compare the trial with the starting point.

We can assess a suitable starting point without assuming the whole clinic system must change. What will be built, who will use it and what will be tracked should be clear from the start.

Questions from clinic owners and dentists

We don't sell a ready-made package for patient records, imaging, accounting or complete clinic management. We assess administrative processes and follow-up around your needs.

We first review the existing setup and the connections the tools allow. That assessment determines whether any change or integration is needed.

No. A general description of the process is enough for an initial conversation. Please don't send patient identities, health information or private records.

We assess scope, needs and conditions together. After the review, we share a clear proposal for the first piece of work, estimated timing, cost and support.

Which follow-up step is least clear in your clinic?

Describe today's workflow and where it becomes difficult. Let's choose a starting point for more visible follow-up; you don't need to send patient data or detailed records.
